SUMMARY:
The Chief Operating Officer will lead and manage all operational functions of the Firm, excluding
finance, and will ensure that the administrative team effectively and proactively meets all operational
needs, thus enabling the firm to pursue its strategic objectives and business goals. This professional will
serve as the key administrative business partner to the Managing Partner and the Chief Financial Officer,
and represent the organization externally, as necessary.

A New York City based law firm seeks a Chief Operating Officer for the NY office.

POSITION OVERVIEW:

The Chief Operating Officer will lead and manage all operational functions of the Firm, excluding
finance, and will ensure that the administrative team effectively and proactively meets all operational
needs, thus enabling the Firm to pursue its strategic objectives and business goals. This professional will
serve as the key administrative business partner to the Managing Partner and the Chief Financial Officer,
and represent the organization externally, as necessary.
Reporting Relationships: The Chief Operating Officer will report to the Managing Partner and will work
closely with the Chief Financial Officer. He or she will also work closely with, and be responsive to
practice leaders, as well as to the partnership as a whole.
Direct Reports: The Chief Operating Officer’s direct reports will include department heads in
administration, human resources, information technology, marketing and office services.

RESPONSIBILITIES:

• Lead and direct all administrative operations, excluding finance, and ensure smooth operations
that facilitate advancement and execution of the Firm’s strategic objectives. Review organizational
structure and make recommendations as necessary to improve.
• Serve as administrative business partner and trusted advisor to the Managing Partner and provide
regular analysis and evaluation regarding operational issues.
• Provide administrative support to the leaders of all internal committees and facilitate a cohesive
coordination of efforts and initiatives of each committee to the benefit of the entire Firm.
• Work with the Chief Finance Officer to assist strategic planning committee and help with
preparation of a future business plan.
• Work collaboratively with practice and the business development leaders to align business
development and marketing initiatives with strategic goals at the firm-wide and practice levels.
• Ensure compliance with risk-management policies and work on professional liability, general
liability and partner life / disability insurance programs, to eventually oversee process. Review health
insurance and related benefits programs to determine optimum arrangements.
• Understand concentration risks and billing and collection issues, and make recommendations for
improvements as necessary.
• Work with the head of marketing on all aspects of marketing, branding, public relations, and the
associated cost of these initiatives.
• Work with Director of Human Resources on all employee relations issues.
• Provide leadership to the information technology function and ensure that all technology systems
and applications utilized position the Firm to meet both Firm and client objectives, and implement
internally the best practices used by law firms.
• Coordinate the activities of all administrative departments, excluding Accounting, and
communicate their individual and collective impact on daily operations. Determine appropriateness of
current staffing and make recommendations for improvements as necessary.
• Review all hiring methods and make recommendations for efficiency and other improvements.
• Assist the Managing Partner in evaluating compensation structure and billing rates.
• Regularly evaluate all administrative and support functions and revise processes and procedures
as necessary to guarantee efficient and cost effective operations and improve overall expense
management, directing upgrades and capital expenditures as appropriate.
• Participate in fostering the Firm’s collegial, collaborative, team-oriented culture that establishes
and sustains a camaraderie among the administrative team and with the Firm’s attorneys.
• Establish strong working relationships with administrative team and with the Firm’s attorneys.
• Develop and monitor operational budgets and recommend modifications as necessary to maintain
compliance with parameters established to maximize profitability.
• Analyze organization, systems and reporting and recommend changes to Managing Partner in all
aspects as appropriate.
• Attend and present at Firm’s partner meetings. Meet regularly with Managing Partner and Chief
Financial Officer.
• Ensure implementation of a comprehensive facilities and real estate plan that fully utilizes
available resources to meet the Firm’s needs. Assist with short and long term space needs.
• Establishing relationships with and managing Firm vendors and associated contracts.
• Participate in professional and industry groups to stay abreast of trends and changes in the legal
industry, including developments that could impact the Firm’s strategic goals or market position.

EXPERIENCE & QUALIFICATIONS:

• An advanced degree (MBA or JD) is strongly preferred.
• A minimum of 7 years of experience in a similar capacity in a law firm.
• A track record of working effectively in a fast-paced, multi-authority environment.
• A polished, professional presence that engenders trust and confidence from all members of the
organization. Proactive, personable and diligent.
• Exceptional diplomatic skills and ability to work with a true partnership in a professional services
environment.
• Demonstrated experience identifying organizational needs and driving change in a positive
manner that ensures consistently high customer service, even during changes in process or procedure.
• Excellent writing, presentation and leadership skills.
• Proven business and analytical skills, including the ability to synthesize data, identify trends, and
make thoughtful and creative recommendations to address immediate or potential issues.
• Must have a good understanding of financial management and analysis and be proficient with
Excel.

MANAGEMENT & LEADERSHIP SKILL:

• Demonstrated ability to exercise sound judgment in matters regarding personnel and business
operations, making decisions and acting on them when appropriate, as well as knowing when to instead
ask and consult with others.
