A law firm in NYC is looking to add a Legal Assistant/Junior Paralegal to join their firm.
Description:
Administrative Duties:
•Provide administrative support to team leader, primarily phone coverage, calendar management, scanning and filing documentation.
•Additional administrative support to full team involves light phone coverage, internal and external meeting coordination and preparation, expense reports and mail and messenger documents.
•Coordination of travel arrangements and team social events.
•Occasional back up administrative support to General Counsel and Chief Compliance Officer and vacation coverage for Transaction Team Legal Assistant.
Junior Paralegal Duties:
•Maintain and control fund-related and management company documentation, including offering documents, organizational documents, operating agreements, etc. Responsible for electronic and physical files.
•Maintain legal team databases, practice guides, reference materials, intranet content, team project list and meeting agendas.
•Manage electronic, web-based invoicing system for external law firms (Serengeti Law). Run reports on legal spending.
•Assist with the management/ development of firm’s contract workflow software; coordinate contracts for electronic signature.
•Prepare documents for signature, obtain signatures from Firm signatories and handle delivery of final documentation.
•Draft and edit correspondence, memorandum and other documentation in Word and Adobe, work with Excel spreadsheets, create presentations in PowerPoint, run document comparisons.
•Draft organizational documentation for, and coordinate formation of, new entities; create structure charts. Draft director resolutions.
•Coordinate board meetings and prepare board packages.
•Assist with fund launches and closings, fund regulatory filings and cross-department projects.

Qualifications:
•College degree, minimum GPA 3.0.
•Prior experience in an office setting providing administrative support.
•Strong computer skills are a requirement. Substantial experience with MS Office Suite (including Outlook, Word, Excel and PowerPoint). Experience with Adobe, SharePoint, Document Management System (iManage/Autonomy), Document comparisons and electronic billing or other web-based systems a plus.
•Ability to recognize and handle sensitive information with a high degree of discretion.
•Superior organizational skills and ability to manage multiple, time-sensitive projects in a demanding environment.
•Must be a team player who works well under pressure, demonstrates resourcefulness and follow-through and ability to independently conclude projects and assignments reliably.
•Flexibility to work overtime is required.
