A top law firm is seeking an Office Manager.
Responsibilities:
Managing multiple complex and intensive agendas (travels, roadshows, meetings, conf calls, visio conferences, etc…) with different timezones –
Office management -Maintaining offices and meeting rooms -Managing and maintaining office/administrative systems such as:
Office H&S documentation (including fire marshal duties)
Filing -Assisting with technical support (e.g. Visio, Xerox, Vodafone, IT, etc.)
-Purchasing and maintaining inventory of the necessary office supplies such as:
Stationery, corporate stationery
Office furniture
Kitchen supplies
Subscriptions -HR activities such as:
Organizing interviews
Interns and professional recruitment responses
Recruitment of support staff
 New starters/leavers procedures -Sourcing and maintaining relationship with suppliers and building management -Arranging the office layout, desk allocation, general office maintenance – Office catering -Event management (e.g. Partner’s offsite, corporate client events) – Ad-hoc projects (e.g. decorative works, photoshoot, etc.) Secretarial and administrative tasks – Distributing and dealing with incoming post, phone calls, faxes – Assisting with various basic administrative functions: photocopies, scanning, printing, filing, binding documents -Managing correspondence and couriers -Producing and collating documents and letters -Maintaining front of house (meeting and greeting visitors) -Managing meeting room schedule Accounting -reconciliation invoices -liaising with suppliers and with the accounting department for payments
