Job Description:

Responsibilities:


* Coordinate event logistics, including, among other items, preparing invitations, researching and visiting potential sites and venues, room layout and A/V arrangements, signage, and menu selections for onsite and offsite events


* Build relationships with colleagues in other departments (for example, food services, IT, reception, etc.) to facilitate the successful and efficient coordination of client and other events


* Proof and quality check name tags, promotional materials, signage and other event collateral


* Provide on-site support for in-person events, including assisting with guest registration, handouts and other materials, site management, and coordination of external and Willkie speakers


* Conduct post-event activities, including recording attendance and assisting with any post-event follow-up


* Directly support client webinars on Zoom, including managing presentations, recording audio and video, conducting polls, coordinating virtual breakout rooms, etc.


* Coordinate with Communications team to post event information to the firm's website and social media feeds, as appropriate


* Collaborate with Graphics team to create and prepare event specific collateral and banners


* Maintain records of events, including tracking attendance and outcomes


* Fulfill standard and special order requests for promotional items, including conducting research on appropriate options, ordering, and arranging shipping and delivery of items


* Facilitate review of venue and event contracts by appropriate firm personnel and submit invoices for processing on a timely basis


* Support additional event and marketing activities from time to time as determined by the needs of the firm



Job Requirements:

Qualifications:


* Undergraduate degree is required, preferably in Event Management, Marketing, Communications, Business Administration, or a related field


* One to two years of events experience


* Experience in a legal or professional services organization is preferred


* Must be proficient in the use of Microsoft Office (Word, PowerPoint, Excel, etc.); knowledge of Interaction and Vuture preferred


* Flexibility to work outside of standard business hours, as needed, to support events required


* Strong attention to detail, accuracy and organization


* Strong time and project management skills; ability to prioritize, work well under pressure to meet deadlines and handle multiple tasks in a fast paced environment


* Ability to quickly learn new skills as needed


* Must work well independently and collaboratively as a member of a team with a positive, can-do attitude


* Must demonstrate reliability and build trust through consistence performance and responsiveness with attorneys, fellow Client Development & Marketing team members and other firm departments, including demonstrating responsiveness outside of business hours as needed
