Job Description:

Key responsibilities and deliverables

  • Oversee all aspects of New York office client reception floor to ensure best client experience including A/V, catering, and cleaning
  • Coordinate food service and other vendors for in house cafeteria
  • Collaborate with colleagues to prepare and manage budget for the US Office Services department as well as develop vision
  • Establish and continually improve procedures for reception desks for all US offices
  • Directly manage receptionists in the New York office
  • Management and administration of room/visitor booking systems (Condeco)
  • Oversee travel department for all US offices including implementing guidelines and best practices
  • Coordinate taxi/car service for the New York office
  • Procure and keep up to date decorative elements of the New York office including artwork and planting
  • Oversee aspects of internal events  in collaboration with colleagues
  • Be part of a team which looks at various business solutions overall as we design infrastructure on to delivery strategy
  • Work alongside global environmental teams to reduce food waste
  • Report to management on established metrics
  • Conduct performance reviews
  • Work alongside the recruiting department to review resumes and conduct interviews when recruiting new team members
  • Conduct team training including new hire induction as well as ongoing development of skills and knowledge


Job Requirements:

Key requirements

  • Bachelor’s degree required
  • 5+ years of experience in corporate hospitality, professional services or law firm preferred
  • Ability to communicate with all members of the firm, clients, and vendors
  • Experience working with vendors including sourcing and negotiating contracts to ensure the best outcome for the Firm
  • Change management experience
  • Ability to resolve issues/conflicts in a fair and diplomatic manner. Coupled with this is the ability to identify when issues/conflicts need to be escalated
  • Excellent people skills, enthusiastic, pro-active, self-motivated, flexible
  • Ability to exercise discretion & remain poised under pressure, leadership
  • Ability to multi-task and prioritize in a fast-paced environment
