Job Description:


PRIMARY RESPONSIBILITIES

– Prepares Documents – Using the firm’s word processing and document management software,

prepares and processes correspondence, memoranda and legal documents according to the firm’s

standards. Composes and drafts routine cover letters and documents. Proofreads documents and

checks for appropriate formatting, spelling and grammar. Prepares revisions and blacklines

documents as directed. Assists with/prepares closing books, including CD/USB version and index

hyperlinking. Assists lawyers with the establishment and maintenance of on line website (Deal

Room / Sharefile) for the purpose of facilitating legal transactions in the firm.

– Coordinates Financial Functions – Coordinates docket entry and submission according to the

firm’s timelines for docket submission. Prepares expense reimbursement and disbursement

requests. Prepares client accounts and coordinates client billing matters with the Accounting

Department.

– Processes Mail – Reviews and routes incoming mail and fax communications. Prepares and

processes outgoing mail and faxes, arranging for specialized mail or messenger services as

required. Ensures that all attachments, exhibits and enclosures are included. Assists with email

management, including printing and filing of client-related email correspondence.

– Manages Email – At the direction of the lawyer, ensures that email correspondence is filed to the

appropriate client matter through the firm’s email management program.

– Maintains Calendar – At the direction of the lawyer, maintains and updates the calendars for

assigned lawyers including meetings and appointments.

– Maintains Files – Works with the Records Department to create and maintain client files. Marks

matter related documents for filing and maintains active file list for each lawyer he/she supports.

Ensures timely coordination of filing to the firm’s central filing system of all client-related materials.

– Provides Administrative Support – Prepares and processes new matter forms. Receives and

screens telephone calls and takes messages as required. Coordinates travel arrangements,

prepares itineraries and travel expense reports. Assists with the scheduling of meetings and

coordinates conference rooms and meals/refreshments where required. Maintains and updates

contact names and addresses in the firm’s contact database. Communicates effectively with clients

and with others in the firm. Is proactive in anticipating the business needs of the assigned lawyers.

Plans ahead and meets deadlines. Assists with other miscellaneous tasks as directed by the

lawyer.



Job Requirements:

QUALIFICATIONS

– Corporate Law Firm experience.

– Accurate typing, experience in digital transcription and computer proficiency in the use of the

Microsoft Word, PowerPoint and Excel.

– Excellent communication skills, both written and verbal with a demonstrated understanding of

correct grammar, spelling and punctuation.

– Ability to work effectively and proactively within a team environment.

– Strong time management skills and the ability to work under pressure in a fast-paced environment.

Ability to coordinate multiple tasks concurrently and to meet deadlines.

– Strong organizational skills and interpersonal skills.
