Job Description:
Responsibilities
Administrative:
· Manage administrative staff by scheduling, providing counsel, coaching and continued training to ensure all staff are performing their jobs effectively and efficiently in coordination with the attorneys, department chairs, and Office Managing Partner.
· Review time & attendance system daily to approve timecards, vacations and to coordinate desk coverage. Monitor staff time off, schedules and onsite hybrid days to ensure compliance. Schedule staff time effectively to meet deadlines while minimizing overtime costs.
· Manage performance evaluation processes (mid-year and year end) by soliciting feedback, writing and delivering reviews.
· Lead administrative staff recruiting efforts, working with recruiters and updating ATS.
· Prepare orientation schedules for all incoming support staff, including coordinating meetings, sending zoom invites, and reserving conference rooms.
· Schedule and train all incoming staff on support services provided by the firm, including an overview of Word Processing, Records, Reception and Office Services.
Operations:
· Review purchases for all staff and vendor invoices for accuracy and to ensure reimbursement being sought is approved.
· Ensure office safety compliance and best practices, including overseeing visitor protocols, emergency action team, CPR certification courses, and liaising with building management on various issues.

· Coordinate office assignments & moves with Office Services and IT
· Perform general duties to facilitate office operations.
Job Requirements:
Requirements
· 5 to 7 years of experience in administrative management of midsize large law firm is required.
· Demonstrable skills in leadership, excellent communication, project management, and organization. Ability to work effectively across all departments and levels of personnel.
· The person in this position should be a self-starter who takes initiative, thinks critically, and is adaptable to change.
· Excellent time management skills and ability to handle a variety of tasks in a fast-paced and sometimes reactionary environment.
· Possesses a clear understanding of compliance with state and federal laws, including a solid knowledge of benefits/leave administration, including FMLA, PFL, PDL, CFRA, Workers’ Compensation, required meal breaks and overtime rules.
· Strong knowledge of iManage, Word, Excel and Outlook. Knowledge of Chrome River, Rollcall and ViDesktop helpful.
· Bachelor’s degree required.
