Job Description:

The Procurement Contracts Administrator will play a critical role in managing, drafting, reviewing, and tracking contracts to ensure accuracy, timely execution across multiple jurisdiction and compliance with legal and firm standards. This position requires strong administrative skills, a keen understanding of procurement contract law, and the ability to collaborate with attorneys, vendors, and internal firm stakeholders to support the firm's operations.


In this capacity, the Procurement Contracts Administrator will:


* Draft, review, and negotiate procurement related contracts, agreements, and legal documents under the guidance of attorneys, ensuring accuracy and compliance with applicable laws and regulations;

* Maintain and organize a centralized contract management system, tracking key dates, renewals, and deliverables;

* Identify contracts requiring due diligence and risk assessments on contracts to identify potential issues or discrepancies;

* Coordinate with internal teams (e.g., legal, finance, risk, and procurement operations) and external parties to facilitate contract execution and implementation;

* Serve as a point of contact for internal stakeholders regarding contract status, processes, and policy questions;

* In coordination with the SRM team, monitor compliance with contract terms and conditions, flagging potential risks or breaches for attorney review;

* Prepare summaries and reports on contract statuses, obligations, and performance metrics for firm leadership;

* Assist in developing and updating contract templates, clauses, and firm policies to streamline processes;

* Ensure all contracts and related documents are stored securely and comply with data protection regulations;

* Provide administrative support for contract-related inquiries and disputes, escalating complex issues to attorneys as needed; and

* Stay updated on relevant legal and regulatory changes impacting contract management.



Job Requirements:


Qualifications:

* Bachelor's degree in Business Administration, Legal Studies, or a related field (Paralegal certification or equivalent is a plus);

* 2+years of experience in contract administration, preferably within a procurement environment;

* Experience with legal research tools (e.g., Westlaw, LexisNexis);

* Knowledge of risk management and compliance frameworks;

* Strong understanding of contract law principles and legal terminology;

* Familiarity with compliance regulations (e.g., GDPR, HIPAA, or industry-specific standards) is a plus;

* Familiarity with international legal or regulatory framework is a plus;

* Previous experience working in a global legal team or global procurement team;

* Strong interpersonal skills with a collaborative mindset; and

* Adaptability to work in a fast-paced, high-volume environment.


Proficiencies:

* Proficiency in contract management software (e.g., DocuSign, Contract Works) and Microsoft Office Suite (Word, Excel, Outlook);

* Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities and deadlines;

* Excellent written and verbal communication skills for interacting with attorneys, internal stakeholders, and vendors;

* Ability to maintain confidentiality and handle sensitive information with discretion;

* Proactive problem-solving skills and the ability to work independently and as part of a team; and

* Ability to adapt to a fast-paced, client-focused environment.
