Our new client is looking for an Administrative Assistant at a boutique transactional entertainment law firm.
We are seeking an Administrative Assistant with strong organization skills and who pays rigorous attention to detail. This person will be supporting three senior attorneys (named partner, partner and counsel) and needs to possess excellent written and verbal communication skills and sound judgment. A high degree of professionalism and maintaining client confidences is essential. Our Administrative Assistants must have the ability to multitask, a friendly demeanor and a positive attitude.
Responsibilities include answering phones, preparing first drafts of correspondence, opening client matters and generating engagement letters, creating and editing documents in Word and Excel, scheduling meetings and calls, welcoming guests, scanning paper documents into iManage and other filing and document organization, managing these attorneys’ entire billing process including inputting time and transmitting bills to clients, note taking and creating expense reports. The Administrative Assistant will assist other Administrative Assistants with overflow work and provide backup support for reception, conference room and office services functions.Knowledge of Microsoft Office 2013, iManage/Filesite, PowerPDF Advanced, and TABS3 preferred. Must be able to lift boxes that weigh up to 25 pounds. College graduate with at least two years law firm experience required.
