Job Information

Our Client, a top financial company here in New York, is seeking an Administrative Assistant

General Administrative
•Manage sales calendars
•Coordinate travel and entertainment and expenses
•Answer phone lines, make copies, coordinate e-mail blasts, plan teams calls, etc.
•Organize and implement the partner firm materials, websites, review process and communicate availability of literature to sales team
•Work with the department head on projects and reporting items
Sales Support
•Assist sales team with fulfilling client needs
•Manage Salesforce: create, update and run various SalesForce reports as requested
•Manage Pardot reporting to the sales team
•Work with marketing team on quarterly materials and distribution
•Support Internal and External Intermediaries by sending material to client meetings
•Create Morningstar Comparisons and agendas for sales meetings and follow up
•Be a liaison between the team and other business units within the firm
Events Organization
•Coordinate attendance at several industry conferences: register attendees, plan travel, send materials, etc.
•Plan client events and dinners
•Coordinate due diligence events and interact with clients
Client Relations
•Submit and track marketing material approval requests to client firms and communicate status to sales team
•Coordinate meetings/conference calls with clients
•Make and bind presentations/kits for meetings
•Email quarterly updates and track
•Bachelors degree required
•1-3 years of experience in a professional environment
Knowledge and Skills
•Attention to detail and problem solving skills
•Excellent communication and interpersonal skills
•Strong phone contact handling skills and active listening
•Proficiency in MS Office
•Meeting and event planning skills
•Familiarity with preferred
•Knowledge of the mutual fund industry a positive
