A full-service law firm is seeking a Client Service Assistant. They will be responsible for all matters related to the client reception area of the
firm and is an integral part of our efforts in first-class client service delivery. They will also be covering a
variety of administrative and operational support tasks for our attorneys and staff. The Client Service
Assistant is expected to exude a warm, hospitable and professional welcome to callers and visitors, as
well as in interactions with all personnel.
• Answer main phone number, provide responses to basic phone inquiries and transfer calls as
• Greet visitors, announcing their arrival to whomever they are meeting
• Be responsible for the well-being of all visitors in the office, including providing amenities (e.g.,
offer beverage, directions to restrooms, etc.)
• Record the office arrival and departure time for all personnel, maintaining knowledge of
attendance in order to properly respond to related inquiries
• Schedule conference rooms, coordinate with the Office Services Department for pre-meeting
room set ups and post-meeting room clearance as may be required
• Provide back-up phone coverage for the direct line of the Managing Partner when such primary
coverage is unavailable (e.g., during errand runs, lunch hour, etc.)
• A vocational or higher educational degree in any field is strongly preferred
• Experience in a similar capacity within a law firm is strongly preferred
• The ability to work effectively in a fast-paced environment and anticipate needs is essential
• Efficient computer skills, including use of current versions of Word, Excel and Outlook
• Ethical and trustworthy, with the ability to demonstrate good judgment and discretion
• Well organized and proactive, independently motivated and self-directed, a multi-tasker who
consistently demonstrates a positive attitude and approach
• Reliable and punctual, with a pleasant demeanor and a ‘no job too big or small’ attitude
• A quick learner, thinker and executor, with demonstrated enthusiasm and dedication
• Focuses on the needs of internal and external clients/contacts where relevant, builds
relationships with stakeholders
