A world famous law firm is seeking a Conflicts Analyst for the NY office. This position will be responsible for the processing, review and analysis of potential conflicts with respect to new business intake, lateral and new attorney hires to ensure that the Firm minimizes risks and avoids and conflicts of interest with current and potential clients. Acts as primary backup to the Conflicts Manager as needed. The position will work closely with the Conflicts Department, Conflicts Attorney, attorneys and management.

Primary Responsibilities and/or Essential functions:
New Business Intake:
Provide guidance on Conflicts of Interest (CoI) procedures and New Matter Sheet (NMS) guidelines.
Receive/review new matter sheets to ensure that all information is accurate and complete. Follow forms through the intake life cycle to make certain that forms are processed quickly and efficiently. Question forms that don’t meet established criteria.
Perform timely and thorough (CoI) checks.
Perform corporate affiliate research using a variety of reference materials. Provide results in the form of a conflict report.
Perform research and analysis on the Firm’s new business and bankruptcy disclosure affidavits.
Provide guidance to attorneys/secretaries in following the necessary steps for effective conflicts resolution.
Provide guidance on the CoI search results and provide any necessary backup or additional information.
Apply Ethics Committee initiatives and analyze result set by filtering hits to ensure that anticipated results reflect potential conflicts and that “false” hits are eliminated from the results.
Adhere to OFAC procedures and perform relevant database checks.
Assist the Conflicts Attorney as needed with the clearance of CoI reports.
Provide attorneys and secretaries with client and matter number.
Ensure that copies of executed retention letters are stored in the Retention Letter Database.
Review Ethical Screens and setup using the Firm’s Ethical Wall software.
Periodically review Ethical Screens and ensure they are still valid.
Provide ad hoc reports and statistics as requested by Conflicts Manager.

Perform research and analysis on the Firm’s lateral hires and new attorneys.
Evaluate lateral hire requests and enter search criteria based on the evaluation. Review results of the lateral hire search and provide corresponding match report for review and clearance by hiring partner and Conflicts Attorney
Run Summer Associate and Incoming Associate conflicts checks, update tracking spreadsheet and coordinate filing of all documentation.

Securities Trading:
Receive all requests for securities trading and process same in accordance with firm Securities Trading Guidelines/Policies.
Provide assistance to all employees in regard to interpreting the guidelines and reiterate Firm policy.
Responsible for Sensitive Security Clearances. Follow Firm Guidelines for obtaining clearance for all requests.
Maintain Sensitive Security Database for all requests and clearance.

Administrative Tasks:
Run all disclosure and bankruptcy filing conflict reports and coordinate all documentation in that regard.
Enter relevant information for new bankruptcy matters into CoI database.
Provide relevant information for preparing attorneys on matters where the attorneys on matters have the left the firm.
Perform database maintenance, coordinate filing and provide any additional backup and assistance.
Maintain the twice yearly updating of the Sensitive Security list.
Responsible for CoI Database and New Matter Sheet Database Maintenance.
Track Conflicts System problems/Faults and provide feedback as necessary.
Assist with system testing and provide feedback to IS teams.
Enter telephone information into the CoI Database and maintain that file by deleting old inquiries. Delete telephone inquiry information upon receipt of new matter sheets from CoI database.
Maintain New Matter Sheet dataset by sending weekly reminders to attorneys with outstanding new matter sheets. Delete new matter sheet drafts from NMS database as requested.
Responsible for all record keeping aspects and filing of conflicts related materials and reports.
Coordinate daily e-mail to all secretaries in all regional and European offices reflecting newly assigned matter numbers.
Any other responsibilities or special projects as assigned by management.

Knowledge, Skills & Abilities:
8+ years of relevant conflicts experience in a Large Law Firm preferred.
Candidate should be detail oriented, organized and have excellent communication skills.
Ability to provide off hours coverage as necessary. (Including nights, weekends and holidays).
Strong Internet Research, record keeping, and some database management skills are a plus.
Good decision making skills and handle multiple projects and meet deadlines.
Excellent attention to detail, responsiveness and customer service.
Knowledge of CoI principles including the ability to define relationships and related parties within the conflict of interest system.
Ability to organize and prioritize numerous tasks and complete then under time constraints.
Proficient in MS Office products.
Working knowledge of 3E Conflicts and/or Intapp Open and various databases strongly preferred.
Ability to work in a fast-paced, high pressured environment.

Bachelors degree or relevant working experience preferred.
