Our client is seeking an experienced Legal Administrative Assistant for our Real Estate Finance and Investment Practice Group.
Responsibilities:
-Process substantial edit revisions of documents to include proofreading and quality control.
-Open client matters and draft engagement letters.
-Coordinate with billing specialists to prepare, edit and set-up client bills.
-Case and project management.
-Work with Business Development in coordinating client and charitable events as well as distributing tickets for client events.
-Answer telephones and sort mail.
-Enter attorney time records into the time entry application prior to deadlines.
-Process expense reimbursement, coordinate travel arrangements, and maintain updated contacts.
-Demonstrate flexibility in work schedule to meet the needs of the Real Estate group.
-Interact with all levels of Firm personnel while maintaining a professional demeanor.
Qualifications:
-Expert knowledge of Microsoft Word (heavy formatting, styles and numbering schemes, TOA, TOC, editing/cleaning of documents).
-Advanced knowledge of Excel and PowerPoint.
-Proficient in PDFs (scanning and conversion, fillable forms).
-Knowledge of Interaction, Chrome River, Desksite, Elite is preferred.
-Candidates should be able to concentrate on detail and organize work accordingly, and have the ability to work with a wide spectrum of individuals in a teamwork setting and at a high volume and fast paced environment.
-Ability to work independently while handling complex situations and balance multiple projects.
-Be resourceful and take initiative to ask questions.
-Ability to listen to and communicate effectively with others, exercise good judgment.
-Become knowledgeable regarding Firm systems and policy and procedures.
-Flexibility to work overtime during deal closures and heavy transactional periods.
-A minimum of 3 – 5 years of prior administrative experience in a law firm, experience in a real estate practice or other transactional practice is preferred.
-A high school diploma is required. Associate or Bachelor’s degree is preferred.
