The Administrative Support Manager oversees a team of legal executive assistants (LEAs) to efficiently deliver a variety of administrative tasks under tight deadlines and constantly changing priorities. Encourages and promotes teamwork and cooperation by working with attorneys, management team members, and LEAs to identify areas for improvement. Works closely with the Senior Manager to propose, prioritize and implement projects and initiatives.

KEY RESPONSIBILITIES:
-Manages the operations of the department along with other management team members including; oversight and administration of policies and procedures; prioritization and implementation of department projects.
-Expected to be a highly visible presence in the Boston office to ensure a keen understanding of workloads, keeps a pulse on day-to-day challenges, removing obstacles and roadblocks for the team and improve overall effectiveness and efficiency for the support function.
-Recruits retain and develop LEAs to ensure best in class support to lawyers and other professionals. Identifies and appropriately resolves employee relations issues with input from the Senior Manager of Administrative Support and or an HR Manager, as appropriate.
-Hosts weekly management huddle meetings and regular individual 1-1 meetings with support team members.
-Manages performance of the department staff including performance review discussions, coaching and mentoring regarding career development, and constructing recommendations regarding compensation based on performance.
-Supervises daily operations including: prioritizes workloads and workflow; continuously reviews and assesses LEA assignments to drive and support the Proactive Assistant model; maintains LEA work schedules; organizes coverage for scheduled and unscheduled absences; monitors and approves requests for overtime.
-Communicates effectively and efficiently with attorneys, paralegals, case assistants, staff professionals and LEAs to ensure secretarial support is acceptable and satisfactory. Also provides timely completion of all administrative support work.
-Partners with Senior Manager and other Administrative Support Managers to support new lawyer onboarding and the transition of lawyers leaving the firm by overseeing the rapid change of client files. Assist with the fostering of good time entry habits. Guides lawyers and business support on secretarial utilization.
-Identifies problems affecting productivity or concerns affecting morale and collaborates with the management team and appropriate departments to develop solutions.
-Identifies and analyzes improvement areas as it relates to people, processes, and technology.Develops recommendations for improvement and, when appropriate, leads organizational change efforts.Provide leadership for in-house focus groups, pilots, and other project related initiatives.Organizes people, collect feedback and shares output with project teams.
-Collaborates with Senior Manager on organizational initiatives, programs and events to drive and support the Proactive Assistant model.Researches industry and working best practices to ensure top-notch LEA and supervisory support.Implements and evaluates administrative plans affecting LEA support. Recommends process improvements.
