An elite international law firm is seeking a records Analyst for the NY office.

Responsibilities:
• Sort, classify and file all documents pertinent to matters
• Prepare reports for users and management
• Perform indexing and data entry into firm data bases
• Retrieve/reference material for users
• Develop in-depth knowledge of legal documents and filing systems
• Perform iManage queries to delete documents or prepare them to be copied and returned to clients
• Maintain adequate documentation according to established standards to support the records retention plan
• Notify Partners that records are eligible for disposition
• Perform related research to determine client officers and contact regarding matters, including internet website searches to substantiate our process
• Identify and cull duplicate documents before filing
• Create redwelds and folders for matters
• Perform file maintenance and management
• Maintain accurate charge-out system and record histories
• Index documents and prepare office records
• Handle safe papers, e.g., stock certificates, etc.
• Identify and code litigation documents from the Managing Attorney’s office
• Perform data base searches as required by users
• Answer telephone requests
• Coordinate work flow of active records
• Assist in orientation, training and cross training for new staff
• Open and enter new matter slips into the computer system
• Document all interactions both internally and externally regarding our records retention program
• Perform other duties as requested
Qualifications:
• Strong general clerical skills, including knowledge of Microsoft Office applications
• Must type at least 40 wpm
• Must be able to maintain pleasant working relationship with all levels of personnel
• Must be able to construct professional communications in written form
• A minimum of 2 years of college and 2 years of related records experience preferred
• Must be able to create and use spreadsheets, including importing and exporting data
• Excellent verbal and communications skills
• Knowledge of IManage IRM software preferred
• A strong customer service orientation to be able to interface with high level clients at their respective locations
