A top law firm is seeking a Human Resources Coordinator.
The Human Resources Coordinator is responsible for other areas of human resources management including the day-to-day coordination of secretarial absences and coverage requirements; coordination, administration, and organization of employee service programs; coordination and communication of all benefits-related information to employees and Partners. Maintains professionalism and strict confidentiality in all client and Firm matters.
DUTIES AND RESPONSIBILITIES:
Regular and predictable attendance is an essential function of the position.

Actively participates in the recruitment and selection processes for all full-time/part-time non-legal non-exempt, temporary, and student-intern positions ensuring recruiting and hiring practices are in compliance with government regulations and Firm policies and procedures in the pre-screening and post-employment process.
Post internal position requisitions for open positions according to the Firm’s internal posting policy.
Act as liaison with area employment and temporary agencies when it is necessary to utilize such agencies to fill an open position.
Assure proper management approval is gained before using agencies.
Analyze and evaluate all information provided by internal and external applicants for a prospective position to select qualified applicants for interviewing.
Contact prospective candidates to discuss position requirements and schedule interviews. When necessary, coordinate travel and prepare itineraries for out-of-town applicants.
Conduct personal interviews including review of Benefit Highlights for prospective employees. Administer testing to determine suitability for referring applicants to appropriate hiring manager.
Assemble, prepare, and distribute all relative documentation required throughout the recruiting/interviewing/hiring process.
Follow up with the related aspects of employment to include extending offers of employment or communicate denial of employment, prepare employee confirmation letters or send out reject cards, and notify appropriate departments of employee’s starting date and requisition of position the employee is filling.
Assist with new-hire orientation ensuring that all new-hire employees understand the Firm’s Employee Handbook and policies contained within. Coordinate new-hire photographs for staff, schedule computer training/secretarial training, and conduct office space tours.
Schedule conference rooms and process food service and equipment requests required.
Maintain applicant tracking system, application database files, and paper files of applications and resumes received. Complete any required reports on employment activity.
Assist with daily coordination of secretarial services and the daily assignment of special assignment secretarial staff. Assist with coordinating attendance and assignment scheduling; perform daily attendance maintenance.
Update and maintain monthly secretarial FTE spreadsheet and send to Chicago Office Administrator by month end.
Update and distribute Attorney List by Department for the NY office.
Perform other related human resources duties as requested and assigned by the New York Human Resources Manager. Work on special projects, as needed.
Support the Human Resources Department in other areas including, but not limited to, administrative work (i.e., telephone coverage, filing, processing forms, creating packets, sorting mail, etc.).

KNOWLEDGE, SKILLS, AND ABILITIES
High school diploma or equivalent (College degree preferred) and three or more years progressive Human Resources experience; or equivalent combination of education and experience. Must have solid interviewing skills with one or more years recruitment/employment experience preferred. Prior experience in a large legal or professional services firm is a plus.
Computer proficient with experience and working knowledge of HRIS, Excel, Outlook, MS Word, and the Internet preferred. Data entry skills with 85% accuracy preferred.
Exceptional interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, clients, staff, interns, candidates, and outside contacts.
Ability to work discreetly with confidential information and situations and respond to the most sensitive inquiries or complaints.
Exhibit high degree of initiative with analytical skills requiring an aptitude for detail and accuracy in order to perform recruiting and administrative functions. Proactive with excellent critical-thinking, problem resolution, and follow-through skills.
Excellent organizational skills including record keeping, data collection, and system information. Ability to compile and analyze data and furnish information in report format, written correspondence, e-mail, or verbally.
Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment. Ability to act independently and make decisions within scope of the position’s responsibilities.
Ability to perform mathematical calculations and apply mathematical concepts when computing, reconciling balances, verifying numerical data on forms and documents, and preparing various human resources’ reports.
Possess excellent knowledge of reading, writing, grammar, spelling, punctuation, proofreading, and formatting in order to analyze, interpret, and prepare documentation, proofread material for grammatical, typographical, and spelling errors, and perform file maintenance.
Ability to operate standard office equipment including computer, laser printer, telephone, photocopier, calculator, scanner, facsimile, etc.
Ability to occasionally retrieve and distribute files, written documentation, or office supplies weighing up to 10 pounds.
