Job Description:

* Proactively provides support to enhance the business functions of the firm by anticipating, responding to and facilitating the completion of administrative requests, related to managing of the practice of assigned partners in a global law firm and its clients with a high level of confidentiality, diplomacy and discretion;

* Initiate and complete a wide range of administrative tasks including, but not limited to, managing a dynamic appointment calendar, maintaining client files, arranging detailed travel plans, itineraries, and active agendas, as well as preparing and compiling documents for business meetings;

* Lead legal practice tasks and projects under the supervision of an attorney;

* Perform both billable client work product and attorney support non-billable/administrative projects and tasks as directed;

* Perform work in an efficient and cost-effective manner; for client billable work, perform work so as to permit the Firm to reasonably collect fees for such work;

* Oversight of practice-related work process as required, including liaising with international teams and across multiple practices, creation and tracking of budgets, managing vendor relationships including negotiations and department operations processes;

* Exercise advanced-level judgment and decision making in the management and oversight of legal and administrative processes of practice groups, facilitating service levels that meet client requirements;

* Perform Client Service Specialist administrative duties, tasks and functions including, but not limited to, finance/ billing-related tasks, time and expense entry, opening of new matters, client presentations, meetings, document preparation and court filings and other administrative tasks and projects as assigned;

* Coordinate with and delegate to Firm resources practice support or similar departments in International offices in the handling of tasks and projects;

* Prepare complex legal documents and correspondence; file with appropriate court or agency; apply subject matter expertise in coordination of legal practice tasks and projects;

* Work overtime as required, in particular at month end and year end; and

* Handle additional related projects as assigned.



Job Requirements:


* Associate's degree; Bachelor's degree (preferred); or equivalent degree in international offices; and

* At least 7 years of secretarial experience or relevant legal experience.

Proficiencies:


* Advanced to Expert proficiency in rules of English grammar, spelling and punctuation; bilingual proficiency as may be required;

* Advanced proficiency in MS Word and document editing/comparison applications;

* Advanced proficiency in MS Outlook and web-based conference call/web-sharing applications;

* Advanced proficiency in MS PowerPoint and presentation applications;

* Advanced knowledge of time keeping, expense processing and legal billing;

* Advanced knowledge of relevant jurisdictional/court/agency processes and procedures; and

* Advanced proficiency in document management applications.
