Job Description:


As the Administrative Coordinator you will:


* Answer and respond to any issues or requests received from Administrative Support or Reception personnel through the Department's email addresses and main phone line.

* Assist in the preparation of communications to Firm departments involved with onboarding and location changes for attorneys.

* Assist in the preparation of communications to New York Summer Associates, Fall Incoming Associates, and lateral attorney hires throughout the year, informing them of their administrative support resources and liaisons.

* Assist in the preparation of communications to the Attorney Recruiting department regarding administrative support for New York Summer Associates, Fall incoming associates, and lateral attorney hires.

* Coordinate access for Executive Assistants, Administrative Project Coordinators, and Secretaries to various support tools, including Aderant Expert, Chrome River, and Summit Link.

* Maintain the Firm's absence tracking system for Administrative Support and Reception.

* Ensure compliance with New York City Shift Change Law.

* Run and format weekly and monthly reconciliation reports to confirm information is consistent between applications.

* Update and maintain reports documenting schedule changes, such as late arrivals, early departures, leaves of absence, and disability leaves.

* Maintain the training calendar and training database for Administrative Support and Reception.

* Maintain and coordinate updates to the department SharePoint site by regularly reviewing the site for accuracy and completeness.

* Assist with Department initiatives and special projects.

* Assist with requests from the Pro Bono department by assigning translators from the administrative support group.

* Assist with scheduling and calendar management support for the management team for onboarding new hires, training programs, events, and department-wide meetings.

* Coordinate with the Conference Services department for meeting and training requests, including but not limited to audio-visual and catering services.

* Assist with document management and records retention for administrative files.

* Assist with coordinating notary requests both in person and virtually. Maintain and track notary exam dates, jurisdiction requirements, and recertification dates.

* Assure that all completed projects adhere to accepted professional standards.
