Job Description:
Responsibilities include:
Program Infrastructure
- Supports our Flexible Workspace Program of more than 75 reservable offices and workspaces by keeping all workspaces and offices stocked and reset. Must be able to carefully follow a checklist to ensure consistent setup in all rooms.
- Supports the storage program associated with the Flexible Workspaces Program by delivering personal storage items daily to those attorneys and staff who request the items; and securely put away the items at the end of the day. Implements methodology to organize, maintain, and record the activity of the storage program.
- Supports our Conference Room Center of more than 40 conference rooms by keeping all rooms stocked and reset. Must be able to carefully follow a checklist to ensure consistent setup in all rooms.
Hospitality
- Greets attorneys, staff, and clients. Provides a comprehensive overview of available services, spaces, and amenities.
- Develops relationships with local and visiting attorneys and staff in the Flexible Workspace Program to understand and anticipate their support needs.
- Responds swiftly and professionally to queries and requests for services.
- Liaises with internal teams, such as Catering, Mailroom, Facilities, Records, Reception and Conference Center, on document printing and scanning, distributing mail to guests, and replenishing office supplies.
- Projects a high level of service orientation and professionalism in meetings, telephone interactions, and written communications.
Administration
- Assists with making and editing reservations within the Conference Center.
- Assists with making and editing reservations for the Flexible Workspace Program.
- Supports projects as assigned, such as preparing utilization reports and other metrics.
Job Requirements:
Qualifications
- Excellent English verbal and written communication skills.
- Strong organizational, communication, collaboration, and problem-solving skills.
- Exceptional customer service orientation and interpersonal skills, including a professional telephone demeanor.
- Ability to manage multiple tasks with attention to detail, producing error-free work with limited supervision.
- Ability to lift 50 lbs., bend, twist, stand, and walk for extended periods.
- Ability to work overtime as assigned.
Experience
- Bachelor’s degree or equivalent relevant experience preferred, with at least three years in a law firm or professional services environment.
- Proficiency in MS Office and ability to learn new software tools quickly.
