Job Description:

The firm’s Legal Executive Assistant are responsible for working with their assigned partners to coordinate daily activities and provide the highest level of administrative support and practice coordination.  The Legal Executive Assistant will report to the local Legal Administrative Services Manager and Director of Administration, taking daily direction from their assigned partners.  

Principal Duties and Responsibilities:

·Provide executive support as part of a team of Executive Assistants to a group of partners within the Litigation Practice Group.

·       Collaborate closely with assigned partners to effectively manage day-to-day coordination of the partner’s respective practices.

·       Hybrid schedule with three days per week in-office requirement. Flexibility and commitment to work overtime required.  

·       Manage a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, time entry and answering telephone calls

·       Manage client onboarding, billing and relationship management activities.

·       Organize complex domestic/international travel arrangements, with detailed itineraries both personal and professional.  Coordinate flights, hotel accommodations, car service, visas, dining reservations, etc.

·Team-oriented mentality.  Provide back-up support to peers.  Liaise with other firm departments and key stakeholders to complete tasks effectively and efficiently.

Job Requirements:

Position Specific Skills, Education and Requirements:

·       Bachelor’s degree preferred.

·       5+ years relevant experience required, preferably in a professional services environment.  Law firm experience strongly preferred.

·       Highly skilled in Microsoft Office Suite and ability to quickly learn and utilize industry specific computer applications.

·       Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.  Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

·       Exceptional verbal and written communication and people skills, with the ability to collaborate effectively with diverse stakeholders and clients.  Collaboration and facilitation skills to work with various departments and facilitate their ability to work with each other.

·       Ability to work independently and with a team, and to delegate and manage resources effectively.

·       Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.

·       High level of integrity and discretion in handling confidential information

·       Self-starter with demonstrated instances of taking initiative.
