Job Description:


Responsibilities

 Liaise with the Senior Creative Services + Brand Manager and the attorneys to:

― Develop and plan seminars, webinars on Zoom, hosted dinners/receptions, etc. and identify the target audience.

― Evaluate and recommend conference sponsorship opportunities as well as negotiate sponsorship contracts and benefits.

 Ensure all sponsorship benefits are taken advantage of and all deadlines are met (logos, ads, bios/photos, handouts, PPTs, promotional gifts, etc.).

 Plan hosted dinners and firm events (holiday party, retirement party, all attorney cocktail reception) (contracts, invitations, RSVPs, menus, car service etc.).

 Handle event logistics, including:

― Creation of invitation language.

― Develop and manage budgets.

― Develop and maintain timelines/checklists to ensure all deadlines are met.

― Handle registration as well as confirmation, reminder and follow up communications to attendees and provide regular updates to attorneys involved, which includes coding lists for clients/non-clients

― Organize materials (name tags, seminar handouts, evaluation forms, etc.).

― Collaborate with the business development colleagues on BD tracking, historical relationship mapping and trends

― Coordinate with IT department, food services and CLE coordinator when necessary.

― Create PowerPoint presentations and coordinate production of handout material, attorney presentation rehearsals.

― Gather post event statistics (confirmed attendees, no shows, evaluation stats, etc.).

 Act as liaison for all client presentations/CLEs between attorneys, client and CLE coordinator and maintain library of CLEs/client presentations.

Job Requirements:

Knowledge, Skills and Abilities Required

 Bachelor’s degree, preferably in marketing or communications with 4-5 years related work experience, preferably in a law firm, event management or professional services environment a plus.

 Outstanding proofreading, oral/written communications and interpersonal skills required.

 Must be able to work with all levels of personnel from staff to leadership as well as work independently and as a team.

 Possess a positive, “can-do” attitude and requires strong organizational skills.

 Must be customer focused in approach and possess a strong work ethic.

 Must be able to handle a variety of projects under tight deadlines and manage stress effectively.

 Experience and Proficiency Required: Microsoft Word, Excel and PowerPoint

 Preferred Experience or Working Knowledge a Plus: iManage (or other document management system), email marketing platform or CRM platform.
